Contracts Bulk Upload

Introduction

The Contracts Bulk Upload feature under the ‘Licenses’ module enables users to streamline the process of uploading multiple contracts and subscription details at once. Using this feature, users can download the standard Zluri ‘Contracts Bulk Upload’ CSV template, update contract information offline, and then upload the completed template to the platform, saving time and effort compared to individual manual entries of contracts. 

This document provides a comprehensive overview of the Contracts Bulk Upload feature and its functionality.

How to Upload Contracts in Bulk

Accessing Contracts Bulk Upload

  • Navigate to the Licences > Uploads and click Add to open the ‘Bulk Upload Contracts’ interface.


Downloading the Template

  • On ‘Bulk Upload Contracts’ pop-up, click Download Template to obtain the CSV template file.


Updating the Template

  • Open the downloaded template and fill in the required contract and subscription information according to the provided tips and guidelines.

Note

  • Ensure data is entered accurately and in the specified format to avoid errors during the upload process.

  • Enter the appropriate value for fields required to choose from multiple values.


Uploading the Completed Template

  • Upon updating the template, save the CSV file and return to ‘Bulk Upload Contracts’ pop-up.

  • Click Upload CSV, select the file, and upload.

Note: Next, the platform instantly validates the CSV file to ensure data accuracy and format compliance.

CSV Validation and Reviewing Results

Upon uploading the file, the platform instantly validates the CSV file data.

Validation Success

  • Once validation is successful, Zluri will begin processing the contracts and subscription details contained in the uploaded file.

  • Users can monitor the processing status of the bulk upload, and review the uploaded data once completed.


Processing Failure or Validation Error

  • In case of any errors or discrepancies, it is flagged for review, and users are notified of any validation issues.

Note: In case of validation errors, users will have the option to View Errors, Download Error reports, make necessary corrections to the CSV file, and Re-upload File.

  • Processing failure occurs due to any internal errors. In case of any processing failures, users can click Retry and restart the process.


Additional Notes

  • Users must adhere to the provided CSV template and ensure data accuracy to prevent validation errors.

  • Pay attention to formatting guidelines and data requirements mentioned in the template.

  • Unique identifiers are not necessary for bulk upload, as contracts are identified based on specified fields such as start date, end date, and application name.

  • Document uploads are not supported in bulk upload; Currently, users can only upload contract details.
